PERSONAL AND PROFESSIONAL DEVELOPMENT

Introduction

Having the right skills is essential for the personal and professional development of an individual. Managers, project leaders, and individuals having a leadership position encounter several challenges in executing their roles as leaders. Some of the challenges include poor communication of ideas, inability to condone unacceptable conduct, inability to keep appointments and deliver activities on schedule among others. Following the audit of my skills, I have realised that I need to develop my skills on communication, self-awareness, self-management, team working, and leadership skills. The need to learn such skills emanated from my inability to apply the skills whenever confronted by situations that required the skills. The report presents my personal and professional development plan that indicates what I would need to achieve the identified skills, the resources required to learn the skills, the success criteria, and the target dates for learning the skills.

Professional Standards

According to professional standards, self-awareness entails the ability of an individual, team leader, or manager to understand the four personality types that include playfuls, powerfuls, precises, and peacefuls and learn to allocate tasks based on personality type of the individual. The individual should also understand the effective ways of seeking feedback from others such as the use of formal and informal meetings, questionnaires, emails, focus groups, and interviews. On the effective conveyance of verbal and textual messages to an audience, the individual should capitalise on using questions to determine whether the audience has understood the message. Effective listening skills require the individual to focus on the conversation by avoiding all possible distractions. Effective communication also entails exhibiting respect for the opinions of other people by avoiding the expression of arrogance or rudeness in responding to other peoples’ opinions. The individual should also define acceptable behaviour and identify causes and solutions of conflicts. The professional standards also require an individual to focus on the needs of others by listening carefully to the individual and identifying his or her interests and aiming for a win-win situation. The standards also require an individual to learn when and how to use specific channels of communication such as emails, PowerPoint, Word among others.

Based on the standards, an individual should create the “to-do” list by stating all the activities that should be carried out in their order of urgency and complexity. The individual should also refer to the calendar on a regular basis to ensure that that she or he can keep the scheduled appointments. The standards also uphold the essence of establishing and building relationships with team members to understand their skills, likes, and dislikes among other pertinent aspects. Moreover, a leader should express assertive rather than aggressive behaviour by acknowledging the opinions of others and identifying ways of integrating the opinions to achieve the desired results. Finally, the standards require an individual to explain the Code of Conduct of the team or organization to enable members of the entity to follow the acceptable conduct while running their operations.

Skills Audit

Self-Awareness

I need to understand the four personality types that include playfuls, powerfuls, precises, and peacefuls. I also need to understand the needs of each of the four personality types. For instance, playfuls want approval, attention, and fondness. Peacefuls want harmony, respect, and value between individuals. Precises exhibit high levels of sensitivity. As a result, they need quiet environments and space to work alone. Moreover, powerfuls want appreciation, loyalty, and credit. Therefore, when interacting with others, I would identify the personality types of the individuals and grant them what suits them best according to their requirements. On the use of feedback from others to identify my strengths, I need to understand effective ways of seeking feedback from others such as the use of formal and informal meetings, questionnaires, emails, focus groups, and interviews. Understanding the use of the sources of feedback will enable me to get proper accurate feedback from the target group. I also need to understand the effective ways of using the feedback to modify my behaviour rather than seeking feedback and failing to use the feedback for its intended purpose. For instance, when the feedback indicates that I am unable to control my emotions when provoked, I should understand the trait and endeavour to manage it effectively when confronted with a provoking situation in the future.

Communication

I need to capitalise on using questions to determine whether the audience has understood my message. I can use closed-ended questions to receive “yes” and “no” responses but to get more information, I also need to use open-ended questions that seek more comprehensive and broader answers. When receiving the responses, I also need to be an active listener to understand all feedbacks and respond to them appropriately and accordingly. After listening to the responses, I also need to provide feedback in order to fill the information gaps that existed in the audience. This would guarantee the effective conveyance of the intended message. On improving my listening skills, I need to be fully immersed in the conversation to ascertain that I understand all the information. Besides getting rid of distractions such as incoming calls and texts, I also need to look for other aspects such as tonal variation and gestures used by the speaker to get the right meaning of the message. In order to value the opinion of the speaker, I also need to put myself into their shoes to understand the importance of the message. Besides picking up main points, I also need to make the speaker understand that I have picked the main points by mentioning the points when the speaker finishes talking. I also need to learn active listening rather than attempting to reply to the speaker’s comments during the session. Finally, I also need to develop curiosity, desire for continuous growth, and an open mind in order to regard conversations as learning opportunities.

On the issue of demonstrating respect for other peoples’ opinions, I need to try as much as possible to understand the views of others by acknowledging that people come from diverse backgrounds and have developed different viewpoints in the course of their lifetime. I should avoid being arrogant or rude when other people are expressing their opinions because being arrogant and rude annoys the other individuals. I should also avoid dwelling on an issue so much because dwelling on a controversial issue for a long time would strain my relationship with the other individuals. I also need to respect the right to an opinion because people are bound to have different opinions since they come from different cultures and backgrounds. Concerning my ability to handle conflicts, defining acceptable behaviour is one of the milestones that I need to learn. The acceptable behaviour or code of conduct within the setting would prevent the onset of conflicts, as people would have to behave in accordance with the acceptable conduct. However, when faced with a conflict, one probable solution is dealing with conflict head-on because conflicts are unavoidable under some circumstances. As a result, I need to spend time identifying and understanding natural tensions that led to the conflict and finding proper ways of easing the tensions.

Concerning my negotiation and persuasion skills, I need to focus on the needs of the other party by listening carefully to the individual and identifying his or her interests. Focusing on the interests of others convinces the individuals that you have interest in their ideas thereby creating trust and confidence. I also need to learn the use of logic in arguments because it ensures the validity and reliability of the presented claims. I should also avoid the use of hesitant language such as “you know” because the use of such words would make other people fail to believe the arguments. Table 1 below my initial self-appraisal.

I also need to learn the use of positive instead of negative statements such as, “You are right, however…” instead of, “You are wrong about the issue” to persuade the individual to believe my point of argument. I also need to learn to compliment the other party and indicate that they have also done enough research on the topic. I also need to learn effective ways of mirroring the mannerisms of the other party such as the body and hand movements of the individual. In order to improve my negotiation skills, I should ensure that the objective of negotiation is to attain a win-win situation for both parties. On the effective use of communication media, I need to learn specific instances when it is proper to use email, word, excel or PowerPoint to communicate a message to the audience. Therefore, I need to learn that emails are effective in sending individualised messages that require confidentiality. I also need to learn that PowerPoint is best applicable in presenting a topic to an audience.

Self-Management

In order to plan my workload effectively, I need to learn to create the “to-do” list by stating all the activities that I need to carry out in their order or urgency. I also need to conduct regular reviews on my workload because such reviews will enable me to determine tasks that are always at the bottom of my “to-do” list. After identifying the tasks, I can allocate the tasks to other individuals to ensure their timely completion. I also need to learn the 80:20 rule that would enable me to focus on the 20% of my work that yields maximum value. I also need to set deadlines for my workloads and avail time for interruptions by working on urgent issues that emerge and resuming on previous activities after completing urgent issues. I also need to learn effective job structuring because it will prevent me from starting activities and leaving them unaccomplished. I also need to avoid multitasking to ensure the delivery of exceptional output on each workload. On my ability to make and keep appointments, I need to learn how to keep appointments after scheduling them as one of the fundamental requirements of proper etiquette. Therefore, I need to refer to the calendar regularly to ensure that I schedule appointments that I am able to keep. However, I understand that conflicts are inevitable on some occasions. In the event that a conflict emerges after scheduling an appointment, I need to learn to apologise for the inconvenience caused by calling the affected appointees to inform them about the inconvenience. After apologising for an inconvenience, I should learn to ask the appointee for another appointment at a time that she or he feels would be appropriate. Before the due date of the appointment, I also need to learn to confirm the appointment to the target appointees or reply to appointment confirmation notices with immediate effect.

Team working

Concerning my knowledge on team working theory and its application, I need to understand that establishing leadership is the first step towards being a team-leader and that it requires the establishment of trust with the other members of the team. I also need to establish relationships with the other members of the team because such relationships would enable me to know the skills, motivation, likes, and dislikes of other team members. I also need to learn ways of building the established relationships through improved communication, trust, and cooperation with the members of the team. I also need to learn ways of fostering teamwork by encouraging members of the team to share information in order to work effectively as a team. Finally, I need to set ground rules for the team by identifying the acceptable code of conduct and team values. On the use of assertiveness in the team, I need to learn that even though assertive people also state their opinions, they respect the opinions of others as opposed to aggressive people that either ignore or attack the opinions of others in favour of their opinions. As a result, I need to learn to express assertiveness in working under a team by acknowledging the opinions of others and identifying ways of integrating the opinions to achieve the desired results. On what it takes to become an effective leader, I need to learn to become a role model to my subjects as a leader by making them understand that I am knowledgeable in my field of expertise. This will make the subjects to respect my judgments and me. I need to be clear on the purpose and message before presenting or communicating any message to an audience. This would enable me to focus on the main message rather than non-relevant information. I also need to understand the audience by having specific details such as the demographics, attitude, and composition of the audience to adjust the structure and tone of my presentation. I also need to structure my presentation properly to ensure that the message flows smoothly to the audience. I also need to practice adequately for the presentation and be acquainted with PowerPoint. Table 4 below shows the personal development plan that shows the activities.

In order to achieve self-awareness skills, I need to understand various aspects concerning myself. First, I need to understand my personality since this will help me to identify situations that I can handle or environments that I can thrive in comfortably. I also need to understand my values that include the things that gladden my heart.

Our project failed to deliver expected results within the allocated timeframe because of the reluctance exhibited by the members to share relevant information.

I need to learn leadership skills

I started working on a team project without issuing the Code of Conduct. Consequently, some members of the group contravened the some of the requirements of acceptable behaviour.

In order to learn leadership skills, I need to take personal initiative, learn critical thinking, learn effective listening skills, learn motivational skills, and learn self-discipline.

As a leader, I need to know individuals that can perform specific functions properly and comfortably to guarantee exceptional outcomes.

Moreover, I need to understand specific habits such as persisting arguments that reduce my effectiveness when interacting with others. Furthermore, I need to understand the specific needs that have the strongest influence on my behaviour thereby affecting my relationships with others. Finally, I need to understand my feelings, their causes, and the impact of the feelings on my emotional wellbeing.

I need to learn effective ways of controlling my emotions such as remaining calm irrespective of the prevailing mood. I also need to motivate myself in all situations by finding a good reason for staying calm and avoiding unwelcome events. I also need to identify my exact feelings in order to determine the most effective way of dealing with the feeling. I also need to determine the underlying cause of my overreaction or anger by analysing and reflecting on the prevailing circumstances to determine the underlying cause of the emotion. I also need to break the negative emotion cycle by understanding that the feeling or emotion is inappropriate or unjustified in order to control and manage the negative feeling.

Activities for Learning Team Working Skills

In order to learn team-working skills, I need to express the willingness to know other members of the group especially those that come from different backgrounds and portray different interests. I also need to trust and confide in other members of the group to the extent of sharing their feelings and expressions. Moreover, I need to support other members of the group in order to achieve the objective of the task. Finally, I need to ensure that I convey my messages respectfully.

Activities for Learning Leadership Skills

In order to learn leadership skills, I need to learn to take initiative in order to handle additional tasks that other individuals in the group cannot handle. I also need to learn critical thinking skills that will enable me to foresee problems before they occur thereby identifying their solutions. I also need to learn effective listening skills in order to get feedback from other members. I also need to learn motivational skills that would encourage others to emulate my example. I also need to understand the essence of discipline among other members as it ensures the timely delivery of outcomes. Moreover, I need to understand specific individuals that can perform various functions properly and comfortably to guarantee exceptional outcomes. Lastly, I need to learn conflict resolution skills to be able to dig deep into issues to understand their causes and probable solutions.

Discussion and Summary

Because of the previous challenges that I encountered in interacting and assigning roles to team members, I found it necessary to understand the characteristics of the different personality traits. Before arriving at the decision that “playfuls” want fondness, attention, and approval, I understood that “playfuls” are extroverts, enthusiastic, loud, funny, and energetic. Moreover, the get distracted easily, are forgiving, and unorganized besides being full of ideas, innovative, and creative. Just like their name, the “peacefuls” crave for order and peace while interacting with others. The fact that they are diplomatic, patient, and easy going implies that interacting with such individuals requires the avoidance of confrontations. I realized that the “peacefuls” form the right group of individuals to form a working team in an organization since they exhibit emotional stability and are very grounded. Therefore, they are the best people to work with in the case of a fast-paced organization.

I learnt an interesting fact about the authoritative, decisive, and productive nature of the “powerfuls” that makes them suitable for leadership roles. On the part of the “precises”, the value perfectionism and remain focused on a task until they do everything right. Therefore, interacting with the “precises” requires giving them ample time and space to carry out their roles. I also found out that the use of questions is detrimental to the effective delivery and understanding of the message during communication. Therefore, it is necessary to ask the audience open-ended and closed questionnaires about the main topic to gauge their level of understanding. Effective communication also demands respecting the ideas and opinions of other individuals during a conversation regardless of whether the idea conforms to your idea or not. In essence, one should be assertive rather than aggressive while responding to the ideas of other people. As an effective listener, I should ask questions and scribble main points during the presentation or speech.

After having encountered challenges in managing my workloads, I identified the need for learning self-management skills. I realized that creating a “to-do” list is essential in the effective management of workloads. With the list, I am able to structure my activities according to their urgency and complexity to avoid the accumulation of workloads. As a team leader, it is also essential to establish and create relationships with other members in the team to foster information sharing that would enable the smooth running of the project and team activities. As a leader, it is also necessary that one should act as a role model by setting the trend in the use of the acceptable code of conduct.

Also, it is essential for me to advance my communication skills especially in terms of presentation of the messages and the understanding of the audience. I also need to improve my self- management skills through strategies such as planning my workload effectively. Additionally, it is important for me to work on the issue of self-awareness. In summary, I think that I will work on the stated areas and make the necessary improvements as a way of taking responsibility for my personal and professional development. The report has presented an analysis of how I can take responsibility of my professional and personal development. The paper begun by stating the professional standards that I have set as my goals. This include self-awareness, communication, building relationships and team work. The analysis of my skills audit and the facts that arise from my personal development plan disclose that I have the capability to become an effective engineer in future. However, I have various limitations that should be improved. This include my leadership skills which need to be developed. It is imperative for me

From the personal and professional development plan, it is clear that I need to develop my skills in all the identified areas in a period that does not exceed three months. Self-awareness is one of the areas that require skills development. Under the area, I need to understand the “playfuls”, “peacefuls”, “precises”, and “powerfuls” personality types and their application in role allocation and interaction with other individuals in an organisation. In improving my communication skills, I need to use questions to gauge the understanding of the main message by the audience, listen effectively to understand the message, and understand how and when to use specific communication channels such as emails, PowerPoint, and Word. On effective self-management, I need to create “to-do” lists and refer to my calendar before scheduling appointments to prevent unnecessary cancelling of appointments and the inability to handle certain tasks. I also need to establish and build relationships with other people in the organisation or team to understand their skills, likes, and dislikes and foster cooperation. Finally, I need to communicate the expected Code of Conduct to other people in the organization to act as guidelines for acceptable behaviour.
