Executive summary

The Lakeside Hotel is located at the heart of downtown Aurora on the corner of 2nd avenue and 8th street. The lakeside has a capacity of 150 clients on its ground and first floors. Built in early 2000, the Lakeside attracts customers with its old charm assorted with current amenities vital for most travelers. Great proportion of the total customers constitutes business men who need fast service. Most of the customers also come to the Lakeside so as to take advantage of its proximity to other cities and hotel’s rates. Due to the rising no of guests who frequent Lakeside hotel, inconveniencies and delays need to be eliminated with the use of an application that the clients will operate according to their needs. Thus the screen design ought to be perfect so that users will easily interact with it.

Concept and diagrams

The following is a setting up of screen design of the Lakeside hotel. There have been noticed delays in the service within the hotel leading to complains from guests. The construction of an automated process of ordering food in line will be in line with the rising demand for food service industry to embrace the ever technology. The industry is said to be loosing out on valuable benefits and hotels are not realizing efficiencies that would emanate out of better applications through the use of technology in their every day operations. The Lakeside hotel (fast food) like others has a counter where guests place their orders and then make payments. In this scenario, we will assume that the counter is situated at the entrance of the hotel. This is where currently an employee is situated for taking the order and processing the payments that are made by clients. Thus, there is a requirement for a fast and efficient food ordering system.

The automated food ordering process will have a user-friendly touch screen, a debit or credit card reader including software to complete the whole process at the backend. For the system, there will be an administrator who will have the privileges and rights to enter the menu and alter them to reflect the prevailing prices. He is to monitor the system and its operations. He is therefore expected to enter the system using a secured system password to alter contents on the menu through addition or deletion of items (beverages and food) including changing their prices.

As such, when the guest or client enters Lakeside hotel, he will place his order with the help of a touch screen applying discerning GUI –graphical user interface starting from the language selection through payment confirmation. This is in an assumption that for some who might not apprehend the system or unable to operate it however how simple, they will need assistance or use the systems’ help function. The customer or guest will select from the beverage and food options in accordance to his choice and the system will generate and display the payment amount he is expected to make once he’s through with his order. The guest will be presented with an option for paying the bill through cash, credit card or debit card. In case the gust has a card (debit or credit), he will slide it and the system will check its validity and payment will be made in accordance to the customers’ order. A receipt will be generated by the system. The receipt will contain the order number and apparently the order will be transmitted to the kitchen for processing (Shelly, 2010).

As the diagram below shows, the customer or guest will place an order, the order is read by the internal order system and the order is then transmitted to the food preparation individual for execution. In the mean time, the guest pays for the order made. In case the payment is in cash, there is a collector or otherwise a system for credit or debit card processing whilst keeping the balance cash amount.

The above menu is expected to be on standby display at the screen on entering Lakeside hotel. Main emphasis is laid on items within the menu such as language and food menu and beverages (all highlighted in red). This is because the customer is expected first of all to get attention of these items. I expect that when a customer enters into the hotel him or her to be able to interact with the system he must select the necessary language- that which he can understands whether Spanish, French or he default (English). This will be the first action for every customer apart from the majority who understand English- as the default language they are not expected to change it. From there the guest has an option to go for either special which gives the option for meals and beverages for kids. Up on selection of this button, the guest is directed to a screen containing beverage and food for kids. If he is not interested in special option of the screen, he chooses the food of choice or beverage of choice. If what he wants is not located within the displayed screen, he will choose the MORE option on the screen to get a list of other options for him. At the top right corner of the screen the guest have an option for confirming what he has selected.

If the events flow is linear, a textual description of behavior is mostly enough to capture the behavior of the system. Activities illustration gives a visual documenting series of task making up a lone activity. They particularly are helpful for activities that are controlled through conditional logic, and event flow running apparently. In the case above, in order to place an order an actor on the system who is a guest or customer places an order from the presented choices following indication of his language of preference for a session. Here an assumption is made that the system as a whole is connected to a power source, display for the system is turned on and configuration of the system allows for user inputs. The events flow in the following sequence: user selects his language of inclination for the session, then he selects from the menu whether he wants food, beverage or special for the kinds, he may choose more option to get additional items displayed for him to choose from. He may then confirm the order after selection of items which he desires. BACK option is displayed to the guest so that he has an alternative for the flow of events that is, in case he presses an undesired button and after realizing he can hit it or if the guest enters a wrong order and wishes to go back onto the main menu. An automatic condition applies at this stage; once the order has been confirmed it proceeds to the kitchen for processing. A big assumption is made that the guest or user is familiar with how to point the on-screen item.

In order to make the payment, other parties are involved including the customer who is to make the pay, credit or debit system for the card and of course the person to collect the cash. After the selection process and confirmation of the order, the guest is asked for the mode of making his payment –which is accepted as either card or cash by the collector. A receipt is then generated containing the order number. For this to happen, the customer must have selected item (s) and confirmed his order and the total bill having been shown on the screen to the guest. The flow of events that takes place include the following; user enters payment mode, user makes the payment, cash collector collects the cash and give change if necessary, the guest receives his token number including the final bill. An attached condition is that the customer waits for order processing to take place. An assumption is that the guest is familiar with how the system operates and what is expected out of it –token number and change if required. Then all data including the token number and items are forwarded to the kitchen.
