FUNCTIONS OF MANAGEMENT: PLANNING AND ORGANIZATION

Functions of Management: Planning and Organization

Introduction

Normally, the term ‘management’ refers to a social procedure comprising accountability for economical and efficient planning and regulation of a corporate process, which is aimed at achieving specified purposes. It is an active procedure composed of a variety of elements and tasks. However, these tasks vary from functions to function such as finance, marketing, purchase etc. Additionally, these tasks are common for all the mangers irrespective of their rank or status (ManagementStudyGuide, 2011).

In addition, management could be implemented in oneself, to a family, to a corporation or in tasks that necessitate harmony. In fact, in order to achieve a pleasant association an organization frequently necessitates management. In the same way, to apply or maintain a definite business atmosphere, a corporation frequently requires somebody or a group of persons to assign, manage and run the management processes as well as objectives to attain the purposes of the business. However, normally managers carry out these processes to convene the requirements of the business in long-term as well as in short term (Bernales, 2008).

Moreover, there are four management processes that are necessary for the business managers to carry out professionally for the success of a business. Additionally, these processes are similar in all the business sectors for instance, at a super market, a factory, a cafe or still at home. For the soft operating and functioning of some business, these management functions include planning, organizing, leading and controlling. In addition, these four management functions are collectively known as management (ExpertManage, 2011).

This paper will discuss two important functions of management. This paper will cover planning and organisation processes of management. This paper will discuss the role of planning and organisation

Planning

Planning is the first management process that will be discussed in this paper. It is a significant managerial function. It offers the design of a preferred future situation as well as the ways of carrying out that future situation to achieve the organization’s aims and objectives. In more simple words, planning can be defined as a procedure of thinking previous to performing something (Rothbauer-Wanish, 2009).

In addition, planning is an unrelenting strategy. There can be unexpected plans which businesses can face. Occasionally they are unmanageable areas. In other words, they are outside aspects that endlessly influence a business both pessimistically and optimistically. Thus, according to the situation, a business has to transform and update its strategy in order to achieve business objectives. This type of training or understanding is recognized as strategic planning. In strategic planning, administration examines inside as well as outside issues and aspects that can influence the business objectives and goals (Wijesinghe, 2010).

Managers can use planning to ensure innovative values and practices. For this purpose, they develop strategies for achievement; develop aims and objectives for their organization and according to their goals and objectives they can take actions based on their strategy. Additionally, managers have to develop an apparent idea that how their business will adopt innovative values and practices in the future. After that they have to create a mission statement which allows them to learn how to practically accomplish the idea of the business. They can take different actions to analyze their predictions for instance they can use SWOT (strengths, weaknesses, opportunities and technological) analysis technique (OPPapers, 2011).

Planning in a corporation can involve several aspects. I have outlined below some of the important aspects of planning: (Wijesinghe, 2010)

Importance of Planning

Planning is a significant activity in a business. It plays a significant role in business development in following senses: (Wijesinghe, 2010)

  • Makes activities significant

  • Guides to economy and efficiency

  • Develops adoptive behavior

  • Facilitates organisation

  • Facilitates in decision making

  • Facilitates integration

Formal and Informal Planning

Formal planning typically directs business managers to recognize all the significant issues and factors and pay attention on the both short and long range outcomes. Additionally, initially formalized planning allows business managers to develop a plan as they are required to perform through their mind or through managerial policies. After that, managers are required to look at all the major aspects and areas of business (Wijesinghe, 2010) and (Al-Turki, 2011).

On the other hand, planning that is unmethodical, lacks organisation as well as engages basic parts of the businesses known as informal planning. Additionally, it encompasses three risky deficiencies. In the first situation, it is not able to explain all the significant factors. Second, it focuses simply on short range outcomes. Third, with no synchronization, plans in dissimilar parts of the business can conflict (Wijesinghe, 2010) and (Al-Turki, 2011).

The Organizational Planning System

In any corporation organizational planning system needs intermediate, strategic and operating strategy for their business. In this scenario, these all plans are dependen upon each other, such as middle plans are dependent upon strategic plans and operating strategies foundational upon middle plans. However, the strategic plans are the primary to be built for the reason that they offer future opportunities to the business and are vital to the organisation’s endurance. In other words, strategic plans put down the base for building intermediate and operating strategies. In this scenario, the next plans to be built are the transitional plans; intermediate plans face main functional regions inside a business as well as are the stepping-stone to in service plans. Last arrive operating plans; these offer precise guidelines for the activities inside every department (Wijesinghe, 2010) and (Burrows & Bakewell, 1989).

Orgnisation

The second and main function of the management is about getting organised and getting prepared. At this stage, management has to systematize all of its activities and resources effectively before implementing a strategy to make a decision that has been anticipated in the foundation purposes. In the course of this process, administration will decide for within managerial pattern; set-up and uphold associations, and as well allocate necessary resources (Matt, 2009) and (Wijesinghe, 2010). In this scenario, managers can use these ideas to organise their resources to ensure innovative values in their organization.

In addition, within directorial arrangement, management has to appear at the dissimilar areas or departments. They as well observe to the coordination of staff, and attempt to discover out the most excellent method to manage and direct the significant jobs and expenses of information inside the business management decides the separation of work from its requirements. It as well has to make a decision for appropriate departments to surrender authority as well as responsibilities (Matt, 2009) and (Wijesinghe, 2010).

Moreover, organising also describes the earlier effectively planned objectives into an incorporated system conveying them to staff and commanding to organize the work. In other words, it is the procedure of carrying jointly financial, physical and human resources and building up the creative association between them for achievement of organizational objectives. In addition, in order to systematize a business, they need to offer it through all functional or its implementation i.e. tools, raw material, capital and personnel. However, to systematize a business engages shaping and offering human as well as non-human resources to the organisational arrangements.
