Effective team management

Introduction

Effective tea management is today an essential skill in all organizations where team work is the key to growth and success. A team may be as small as of two people or as big as a whole company or a department within the company. How effective a team is managed is a determining factor of failure or success. It is thus important that team leaders possess certain qualities that will be effective in team management. Organizations employ many management methods with determine performances and effectiveness. A good manager should be in a position to determine which management mode is the most suitable for the organization and adopt it in the team in order to yield maximum benefits to the organization (Griffin, 2011). This essay looks into the importance of effective team management as a key component for the whole team in all organization. To achieve this, the essay will first focus on the importance of effective team management, assess the impact of effective team management and assess effective team management in practical uses and its evaluation.

Discussion

A well managed team helps to communicate the organization’s culture. Griffin (2011) observes that well managed team will comprise of pro-active employees which is a perfect ingredient of solid and positive culture which is an utmost important factor in the overall company success. This is because if a team going through the organization’s activities without minding about the business, then it is inevitable that the company may collapse or yield negative result. In order to avoid such occurrences, a good manager will aim to communicate to the employees instead of dictating (Hiriyappa, 2013). This entails instructing the employees and informing them of the company’s goals, focus and messages while at the same time giving an ear to the members of the team to raise the views and concerns too (Halverson & Tirmizi, 2008).

Effective team management ensures that things run smoothly while doing business. This is made possible because every member of the team knows what is expected from him or her and what the company goals are. This ensures that every one is reading on the same script and working towards a common agenda (Janet, 2004). Even though most companies know that they need to have good working teams and organization, it is not always possible to create such teams. There needs to be established clear lines and responsibilities for each team member. Every person has to know their responsibility and those of the other members in order to avoid overlaps and ensure that things are done properly. This information also needs to be passed in the right manner prompting the reason to have clear lines of communication. The communication line has to be two-way; for the management to inform the employees and for the employees to raise concerns (Hiriyappa, 2013).

A well-managed team has a clear understanding of the goals as well as the belief that the goal is associated with important result. The knowledge on the importance of these goals encourages the individuals to redirect their personal energy towards achieving the team’s goals (Lund, 2011). Effective teams are thus that comprise of competent individuals. Besides the technical skills and abilities to achieve the team’s goals, the individuals also possess personal characteristics that are necessary to achieve excellence while working cohesively with other team members. Such teams are characterized by the existence of high mutual trust among members this means that the members believe in the character, ability and integrity of each of the individual members (Halverson & Tirmizi, 2008). With such trust in place, the members are willing to do all that is possible in order to ensure that the team excels. Such commitment is characterized by maximum dedication to the team’s aims and, willingness and desire to provide extra energy that would help them achieve the aims.

Communication remains an integral part of an effective team. Members are able to share messages verbally and nonverbally with each other in ways that are clearly understood (Lund, 2011). Feedbacks that are provided are very important in guiding the team and eliminating any form of misunderstandings. Problems, misunderstanding ad relationship issues are constantly changing when the team members are willing to confront and reconcile the differences; this is referred to negotiating skills (Janet, 2004). Effective teams are led by effective leaders who are capable of motivating the team members by clarifying goals and demonstrating that change is possible through overcoming pressure. Further, effective team leaders should motivate the team members by increasing their self-confidence as well as helping them to realize their full potential. By so doing, the effective leaders act as coaches and facilitators but not as dictators (Trevino & Katherine, 2011).

An effective team calls for both internal and external support. Internal support calls for sound infrastructure, proper training and reasonable measurement system to help the members evaluate their performances. The internal system should also have a reward system through incentives and a human resource system that motivates them to work extra harder. For the external support, the manager should ensure that the team is provided with the necessary resources needed to get the tasks accomplished (Miles & Snow, 2003).

The discussing on the importance of effective team management and teamwork imply that organizing and managing teams for organizations hugely impacts on the quality and productivity of the outputs of the organization. Trevino and Katherine (2011) observe that this concept can be very useful in and applicable for improvement and development of any institution or organization. Based on this concept, instead of different people in an organization working as individuals on routine responsibilities, they can work as a team or teams that have shared values and whose ultimate aim is success (Sims, 2002). For instance in a school, the head teacher, teachers and the support staff may form different teams which perform different tasks based on the school organization so that they would work together to achieve a common goal for the school. This is possible if the teachers share their strength and skills since each of them has unique special skills base on their training and experience. If such unique skills and characters are blended together in a team, they will have a multiplier factor that positively affects the output and the quality of service provided.

The manager has a key role to play in achieving the goals of the organization through mobilizing his team of employees. Through performance evaluation, the manager understands the strengths of his team and can organize his team in a manner that will maximize output and enhance quality of service (Miles & Snow, 2003). Depending on the management model that an organization employs, the manager needs to understand that his team comprise of unique but competent personnel who just need to be organized in a manger that they achieve the expected output by working as a team. In order to enhance this, such activities as team building can be of vital importance in strengthening the team while at the same time foster mutual understanding that will in turn maximize output. Such understanding helps a lot especially in time of conflicts and disagreement among the members; with such understanding in place, the members can amicable negotiate and understand each other (Sims, 2002).

Conclusion

As has been observed in this paper, effective team management is very important in ensuring that there is a cohesive team in place in order to achieve organization’s goals. Communication has been noted as an important factor to establish a good working relation between members of a team. This communication has to be two-way; from the managers to the employees and vice-versa. The managers play a key role in motivating the team members and communicating to them about the goals of the organization. An effective team has been noted to have important practical results in terms of output and quality of services. An effective team comprise of competent, self-motivated and understanding individuals who work extra hard to achieve the goals of the organization. In so doing, the output is maximized and the services are improved.
