Question 1: Understanding Body Language

Body language is a significant way of communication and may contain 50% of what we want to communicate. Use of signals and postures depends on the emotions and the mental condition of an individual. The body language portrayed by people can be used to tell about their feeling at given times (A dictionary of body language, 2010). Individuals who like quarrelling show an aggressive body language. Some of the signs for aggression include facial signals such as frowning, attack signals such as clenching fists. Gestures can also be used as a form of insulting the other person as well as invading their comfort zone. Someone who is angry may use clenched fists, grumble, and at times may have red face.

Individuals who are nervous may demonstrate this through varying speech tone, sweating, fidgeting, avoiding to look other people straight in their eyes, or may have trembling lip. Happy people display general relaxation of muscles and may seem to smile consistently (A dictionary of body language, 2010). It is also easy to tell individuals who are surprised as they may have raised eyebrows, open mouth, and at times stopping or moving backward suddenly.

Question 3

Look for a business letter around the house. Think about what type of impression it gives you about the organization that sent it.

The business letter that I came across in the house was well written through the use of simple English that made it easy to understand. The letter however contained some minor grammatical errors such as use of inappropriate tenses although this did not affect the message delivery.

The impression from this letter was that the organization that sent it was not keen to details and this could imply lack of seriousness. The letter was also written on a plain paper where the organization name was not very elaborate.

In re-writing this letter, the first paragraph would contain a clear introduction about the organization while the main body would contain the purpose of the business letter. In the last paragraph I would conclude the letter appropriately stating my anticipation for a response.

After completing the letter, I would re-read it to correct any grammatical errors and to ensure that the addresses of the organization and the addressee are well written.

Question 4:

Listen to and watch some of the most memorable speeches of the twentieth century

From the videos it can be seen that the speakers were using both verbal and non-verbal communication to pass their message. Some of the verbal communication includes use of appropriate language in articulating their ideas (UNSW, 2010). The non-verbal communication observed include tone variation, voice projection that demonstrates their confidence as well as making gestures with their hands.

Question 5:

Read the business section of any daily newspaper. Identify a story where problems might have been addressed by better communication.

Communication is one element that an effective manager should not ignore. Good communication in business is about giving information to the right people, or collecting information in acceptable manner.

A manager needs to possess effective communications skills in order to address various problems in an organization. This can be done by being open so as to encourage communication as a two-way process (Koning, 2010). Listening to others makes them contribute and a manager may acknowledge information by use of non-verbal communication.

Communication can be used by managers as away of sharing information and knowledge to the staffs. Managers may also hold open forums where members of staff are allowed to raise their ideas that might assist in making their organization effective.

At times a manager can use a one-to-one form of communication to deliver information to specific people (Koning, 2010). This can be done through the use of telephone or email. A manager may also invite people to an office for a face-to-face form of communication which is mostly verbal in nature.

Communication may be used to enhance healthy relationships among members of an organization and such skills should be encouraged for team building purposes (Koning, 2009). Holding regular meetings with staffs may help in preventing work boycotts in an organization, because employees are given an opportunity to ask questions by their managers.

Question 6:

Search the internet for information on the management style of Microsoft founder, Bill Gates.

Managers are supposed to monitor the flow of information in their organizations in order to know the expectations of stakeholders. It is the role of managers to disseminate information before it reaches their employees. Dissemination involves making decisions on who is supposed to receive information and in what form. In many forums, managers act as spokespersons to their organizations and may be involved in giving public speeches.

Bill gates management style was a hands-on as he was interested to know what everything that was going on at Microsoft (Lynch, 2006). He was hot tempered especially when dealing with employees and preferred communication frequently to various managers at Microsoft.

After his resignation as CEO, Gates remains the chairman of Microsoft since he is the majority shareholder. His role has since changed as he does not communicate directly to employees but informs the CEO on any observation he makes.

When he was the CEO, Bill Gates used to be a manager who would point out on a problem immediately and was a bit authoritative (Blair, 2009). He believed in solving problems on the spot and encouraged workers to do their best by avoiding unnecessary mistakes that would taint the brand image of Microsoft.

Question 7:

You have just received a new job as department manager of an all-white, all-male, all-30 something organization. It is your primary goal to embrace diversity when recruiting for new staff members in your department.

Recruiting employees from diverse cultural background is quite essential because such employees bring in varying experiences that might be vital in an organization (Williams, 2008). An organization that has diversity in staff members is has better chances of being global.

To ensure that operations in the diversified environment remains in line with the organizations objective, I would clearly have all the organization’s policies re-written to reflect the diverse nature. Employees will be requested to read and understand the policies as well as the main goals.

In order to fit in the new environment, the old staffs need to be more flexible and accommodating to the new staff members (Williams, 2008). To foster their relationship they also need to understand the character traits of the new members as well as their likes and dislikes. This will be helpful in strengthening interpersonal relationships.

Question 8:

Branding and trademarks

Choose a word randomly from the dictionary. Choose another word that complements it.

The word thrice is complemented by nice. The name of the hypothetical company would be ThriceNice and will be dealing with provision of internet services.

The trademark for the company will be TNice

Question 9:

The most successful companies in the world are those with a clearly defined corporate strategy.

Coca-cola is one of the most successful companies in the word. Its corporate strategy is to invest in sustainable growth to meet both short term commitments and long-term goals (Lynch, 2006). The company also strives to employ highly skilled and experienced workforces who are willing to thrive on teamwork.

Question 10:

Open a newspaper or magazine and observe the advertisements that immediately capture your attention.

An effective newspaper advertisement should be able to capture the attention of a reader. This can be done by introducing variety of colours that are bright. A brief advertisement addresses points clearly and is not vague (Osterman, 2007). Before placing an advertisement in a paper, it is important to understand the target audience.

Advertisements are supposed to communicate to the potential customers about the existence of certain products or services. The language used in advertisements should be simple for all readers to understand and should be placed strategically in the newspapers (Fraedrich, 2010). The AIDA model (attention, Interest, Desire, Action), that is demonstrated by the adverts that capture my attention (O’ Guinn, Allen, & Semenik, 2008). For one to be persuaded to buy the products advertised, the ad should communicate clearly about the advantages of using the advertised products or services. How effective an ad is in communicating to the market, the more interest it develops among the consumers.

Question 11:

Think about a major company that has suffered a crisis in recent years (Panadol, Herron, Kraft, Arnotts, Ansett, Pan Pharmaceuticals, etc.)

The Toyota Company suffered a crisis when accelerators of its workers were reported to be sticky. The crisis management strategy that the company applied was to investigate the claims to verify whether it was true (Liker & Ogden, 2011). Upon realizing that the reports were true, the company recalled all the vehicles it had sold to clients in 2009 and fixed them with effective accelerators that were not sticky. This strategy worked for the company as it repaired all the accelerators to the customers’ satisfaction.

Since Toyota is a major company, there was a lot of media attention which was relatively negative. The company was open to media as it sought to convince customers that such mistake would not be repeated. The company has changed since the crisis as there are no incidences of vehicle malfunction reported.
